Monthly Potluck and Social

Agenda

 

The Monthly Potluck and Social is usually the most popular and biggest attended event that we schedule during the month.  Attendance varies by season, by number of active members and by other community events that may be in conflict with our scheduled event.  It is usually held on the first Saturday of the month at the Casas Adobes Congregational Church at 6801 N. Oracle Rd.

Times listed below are for event guidelines only and can be varied as needed to suit a special program event.  The event is planned to begin at 7PM and generally is over between 9:30 and 10PM.

5PM – 6PM        (President ((or delegated person)) with keys show up to set up the hall and the Kitchen Crew will prepare the kitchen for food to be kept warm, set up the food tables and decorate according to theme of the month.   

                           Also an appropriate "non-alcoholic beverage station" with canned sodas, bottled juices, coffee, tea, etc. will be set up.

7PM – 7:15PM   Volunteer Door Greeter greets guests, new members and collects the required Participation Fee of $3.00 or $5.00 

- AND INSURES THAT EVERYONE IS WEARING A NAME BADGE (all Steering Committee Members are requested to assist where needed 

- it is also requested that Steering Committee Members DO NOT ALL SET AT THE SAME TABLE looking like a cliquish group - spread out and help members and guests feel welcome)!!!!

7:15PM – 7:25PM    Greetings and Announcements   -- President ((or delegated Host)) calls for Membership Chair to introduce guests and new members.  President or host asks for birthday and anniversary members to be recognized.  Event Hosts asked to give updates on their activities.  Special announcements of upcoming M.S.N. events or (GLBT) community events offered by anyone.

                           Food Delivery to Serving Tables --  Kitchen Krew and volunteers will start bringing food out after or during the Greetings and Announcements.

7:30PM – 8:00PM   DINNER CALL AND SERVICE   President calls for Kitchen Krew to begin the food line and “Thank Them”.  Then those handicapped or needing special assistance or serving time, followed by the guests and their sponsor.  Then Birthday and Anniversary members, followed up by random call of tables determined by the President.

8:00PM              CALL FOR SECONDS OR TAKE HOME  -- while Kitchen Krew is clearing empty serving dishes and setting up for DESSERT CALL.

8:05 – 8:10PM    DESSERT CALL AND SERVICE -- President will ask Kitchen Krew to lead the dessert line, followed by members and guests from tables called at random by the President.

8:10 – 9:15PM   SPECIAL ENTERTAINMENT; GUEST SPEAKERS OR ACTIVITIES  AFTER EVERYONE IS RESEATED AND DESSERT IS FINISHED (entertainment begins/speaker begins -- all scheduled to end as close to 9:15PM as possible so that proper clean up and set up of the hall for the church can be accomplished).

9PM – 9:30PM    KITCHEN CLEANUP AND BEGIN HALL CLEANUP -- STORE SUPPLIES AND PREPARE TO SET UP THE HALL AS AN AREA OR SPACE BECOMES OPEN/EMPTY.

9:50PM             LOCKUP  The designated person “KEY PERSON” will ensure that all Church entries and gates are locked, BEFORE LEAVING THE BUILDING, ALL doors should be double checked, the restroom should be checked for anyone that might be using it so they are not locked in.      We are responsible for the hall and church security during our use of the  facility. WE MUST BE OUT OF THE BUILDINGS, DOORS AND GATES LOCKED BY

9:55PM

AS THE ALARM AUTOMATICALLY                              

SETS AT 10PM.

NOTE:  Our annual dues are $15.00 per member.  A prospective member or non-member may attend any of our scheduled events (a maximum of 3 per calendar year) without paying dues but we are in the membership service business, not the freeloader business!!!  

An Annual Membership Directory and Membership Card are provided to our members.
